Infiniti provides two methods for cataloguers to import USMARC bibliographic records. The first just-in-time import method allows you to import MARC records one at a time from a Z39.50 enabled source, while the second batch import method allows you to import a file containing a number of MARC records provided by a suitable source.


Note: Default RDA and AACR2 tag mapping is provided to ensure you can begin importing MARC records immediately. You can review the default mapping if you wish to check that it meets your requirements, however we suggest the settings are already optimal.


1. Just In Time Z-Import


Just in time Z-cataloguing is achieved by using the Z39.50 protocol to import one bibliographic record at a time from the Catalogue screen search box.


2. Batch Import


Note: 

  1. Prior to importing a MARC 21 file you must source it from your supplier/provider.  This could be SCIS, or an ebook provider such as Overdrive, Wheelers, Bolinda, etc.
  2. If using SCIS as your source of collecting records and downloading as a Marc21 file, please login to your SCIS account at https://my.scisdata.com and setup your SCIS My profile > School/Organisation Settings to include these two settings:
  • Download file format


    MARC-21

  • Download preference

    Separate MARC records and cover images
     

  • You can also setup your Dewey, ISBN, and Subject heading preferences for all SCIS records downloaded and imported into Infiniti as a Marc21 (.mrc) file.

  • After all changes have been made, click.



Go to: Cataloguing > Imports > MARC 21

  1. Set the formatof the file to be imported. Note: MARC21 format is the most common.
  2. Clickto locate your already prepared MARC 21 File.
  3. Records are matched on ISBN or ISSN. 
  4. Existing ISBN/ISSN Treatment - choose one of the following, however we suggest you choose option 2 or 3 if there is a chance the ISBN already exists.  Choosing option 1 will create a new Bibliographic record for the incoming ISBN, regardless of whether it already exists.
    1. Always create new records - if an ISBN/ISSN match is detected, ignore the match and create a new record. This may result in duplicate records. Note: use this option if trying to import separate records which have identical ISBNs in a Series .  eg. 9781784936457 - Science in action series - all titles have the same ISBN
    2. Overwrite Existing Records - if an ISBN/ISSN match is detected, overwrite the existing record/s with data from the imported record.
    3. Skip Existing Records - if an ISBN/ISSN match is detected, leave the existing record/s unchanged and skip over the imported record.  Note: this is the safest option to avoid creating duplicates of existing ISBNs.
  5.  Add Copy For New Records - for bibliographic records contained in the file:
    1. Yes - create a holdings record. Note: Use for importing a file containing one copy of a bibliographic records for either physical or digital titles. Note: Use for importing a file containing a mix of bibliographic records for digital and non-digital resources, or when you are unsure of the media type contained in the file.   Do not use if wishing to add multiple copies of one title as it will create separate copy records and make the process much more time consuming.
    2. No -  do not create a holdings record. Note: Can be used for importing a file containing only bibliographic records for non-digital titles
    3. Digital Records Only - create a holdings record only if the bibliographic record is for a digital title potentially with a URL stored in the 856 Marc tag
  6. Choose the Site to locate this batch of records in. Note: Site only applies if Copy records are being created by the import.  If you choose a site while importing physical resource Bibliographic records, a single skeleton holding record, which must be completed by manual input, will be created for each bibliographic record imported.  Choosing Site is necessary for import of a file of Digital records, as the copy records created should be sited in a Digital site for audience viewing.
  7. Choose Media Type:
    1. Use Media Type Import Rules - the import process will determine the media type based on your rules.
    2. {select appropriate media} - all records in the batch will be assigned the selected media type.
  8. Choose to Exclude Subject Vocabulary for a SCIS import:
    1. SCIS - exclude the SCIS subject headings.
    2. ScOT - exclude the ScOT subject headings.
    3. SCIS+ScOT - exclude both SCIS and ScOT.
  9. Read Current Import Behaviour carefully to ensure the imported records will be allocated as you expect. Note: This is a dynamic message that draws its content from the current values on this page and the configuration settings in Config > Settings > General.
  10. Click  when ready.
  11. NOTE:  you may wish to do "Dry run" to see if the records are acceptable, or even if actually required.  the Import button has a dropdown that enables a "dry run" import with all the information on the import without creating any actual records in Infiniti.  This is recommended if the audience content of the import file is unknown or the records are possibly free Gutenberg ebook records available via an Opac "Searchable websites" link.  eg.


Note: Once imported, you will need to attach your copy barcodes to the new bibliographic records.


Find Newly Imported Records


Once imported, you must attach holdings to the new bibliographic records.


Go to: Reports > Catalogue > Backward Glance


1. Backward glance report

  1. ChooseMedia Type to review.
  2. Clickon Catalogued after {date}.
  3. Select a date from which to list bibliographic records added since the chosen date.
  4. Click. Note: All items catalogued from that date will display on the screen sorted by catalogue date.
  5. Locate the record to inspect.
  6. Clickto open the record.


Note: Bulk update can be used to update all records with status Catalogue to On shelf in one process.
