Infiniti supports bulk processing or bulk updating of Copy records simultaneously. Bulk processing allows you to quickly alter one or more attributes of many records, or to quickly add one or more attributes to many records in seconds. If you want to change many attributes of a number of records in your catalogue, or one attribute of many records, then a bulk update provides a fast, efficient, and safe method to either change one or more resource attributes from one value to another, or to add attributes to one or more resources. Infiniti provides a number of methods for bulk processing records.  It is also ideal for archiving Removed records.


Note 1: Bulk Update will not change the status of On Loan items. On loan items must be returned or marked Lost before removing or changing status in all cases.


Note 2: Bulk update can only proceed between Sites with similar attributes, i.e., Physical to Physical or Either, Digital to Digital or Either and the reverse. Physical Site data cannot be updated to a Digital Site or vice versa.


Note 3: Bulk update processes may be very difficult to undo, so it is important to carefully consider all bulk updates before processing.


Preparing a List of Resources for Bulk Processing


Infiniti is able to accommodate multiple update lists created by a number of operators.  These can be created and managed by different logins, but can be seen by all logged in Librarians.  eg.  if lists already exist, this type of box will show with various lists and the number of records in that list.  


Note: Each list of items prepared for a bulk update process is automatically owned by the operator who prepared it. Infiniti remembers the creator of a prepared (but not yet processed) bulk update list of items and displays it each time that user opens the Bulk Update page.


Preparing A Set of Resources For Bulk Processing


A list of resources for bulk updating can be prepared using one of the following methods:

  1. Bibliographic record copies tab. Note: This process is useful when you wish to remove or update bibliographic record to update. 
  2. Scanning barcode/s of resources. Note: This process is useful when you have a random collection of books or resources to update. 
  3. Searching for resources. Note: This process is useful when you have many different books or resources with one or more common attributes, e.g., same subject, or same author, to update. 

Bibliographic Record Copies


This method allows you to update all copies attached to a Bibliographic record


Go to: Cataloguing

  1. Search for title from the OPAC or catalogue search screen.
  2. Open the catalogue iconto open the record.
  3. Edit the bibliographic record and all copies will be displayed
  4. Open the Copies tab.
  5. Click thebutton.
  6. All copies on that bibliographic record will be updated


By Barcode


This method allows you to collate a set of records for processing using a range of collation tools from a number of different functional areas within Infiniti. Once collated the entire list can be processed simultaneously.


Go to: Cataloguing > Bulk Update > By Barcode

  1. To add resources to be updated to the list, scan resource barcodes:
    1. One barcode at a time
    2. As a set of barcodes. Note: Barcodes must be separated by a carriage return and can be pasted from spreadsheet or text file.
  2. Click {barcode} of any resource on the list to check holdings records of any item on the list.
  3. Click {title} of any resource in the list to access the bibliographic record of any item on the list.
  4. Removeresources from the collation list as required.
  5. Clearthe list after processing.
Note: The list can be prepared over a period of time and will be maintained until it is cleared. Failure to clear a list after processing could result in unintended changes to the same records in the future.

By Searching

Go to: Menu > Catalogue > Bulk Update > By Searching

By subject headings
  1. Optionally choose a date range.
  2. Optionally type a Subject to find records attached to that Subject heading.
  3. Optionally select a Site, Section, Status, Budget Dept, and Media Type.
  4. .
  5. Discarditems from the list you do not want to include for this bulk update process. Note: These items will remain on the list and will have a red line ruled through them. They will not be processed.

By Preparing A Report


Go to: Reports > Catalogue > Resources

Warning: Best practice is to check the current collation list prior to sending the search results to bulk update (Step 3 below) to avoid unintentionally updating records that had not been previously cleared.
  1. Construct your search with suitable parameters.
  2. .
  3. Send to bulk update.
  4. Choose to either:
    1. , or
    2. , or
    3.  collation list.

Updating a List of Selected Resources

The prepared list of resources can be processed by:

  • discardingitems from the list that are not to be included in the update process.
  • updating current attributes of the copies of the resources.

Bulk Update
  1. Choose to current selected attributes of all resources on the list:
    1. Site - change from current site to new site. Note: You cannot perform a site update if the set of records are from different sites. Break the set into like sites.
    2. Section - change from section site to new section. Note: You cannot perform a section update if the set of records are from different sections. Break the set into like sections.
    3. Budget Dept - change from budget dept site to new budget dept.
    4. Status - change from current status to new status.
    5. Media Typechange from current media type to new media type. Note: You cannot perform a media type update if the set of records are different media type. Break the set into like media types.
    6. Replacement Cost - Update only if replacement cost (actual or inferred from cost) is missing or 0.00 
      1. Uncheck to update ALL listed or chosen resources to the cost entered, or, 
      2. Check to update only resources that have no replacement cost recorded, i.e., null or 0.00, 
      3. Make your choice to update resources' replacement costs to be the value entered
      4.  Note: Replacement cost is communicated to students with overdue loans and is used during stocktake to tally a value for missing items.
    7. Type YES to acknowledge you understand the implications of doing this bulk update.
    8. .
Note: Non-selected attributes will remain unchanged. This method updates only the resources selected in the list. It is ideal for updating Statuses for scanned barcodes to Removed, Frozen (closed reserve); also updates Frozen back to On Shelf.

Note: You are not able to bulk update/move digital resources to a physical library site and you are not able to bulk update/move physical resources to a digital library site. If you are not able to choose a site, section or media type because of a mixed attribute warning, try doing smaller subsets of the records that are of the same attribute you wish to update.


Bulk Add Attributes - Genre

  1. Choose to add new genres to selected bibliographic records:
    1. Type a Genre to add. Note: Genres must have already been created in Authorities > Genre before adding in bulk update attributes.
    2. Repeat as required.
    3. Type YES to acknowledge your request.
    4. .

Bulk Add Attributes - Subject
  1. Chooseto add new subjects to selected bibliographic records:
    1. Type a Subject to add. Note: Subjects must have already been created in Authorities > Subject before adding in bulk update attributes.
    2. Repeat as required.
    3. Type YES to acknowledge your request.
    4. .

Note: You can add genre and subject simultaneously.

Note:  If All statuses have been selected, resources marked as Removed/Lost/Missing records in the list will also have the attribute added.
